Card Programs
A card program defines the rules and settings for a group of corporate cards. You configure the program type (corporate, purchasing, travel, employee benefit, petty cash), card type (virtual, physical, or both), spending limits, and GL account mappings. Programs can be linked to bank account integrations for automatic transaction sync, or managed manually with CSV imports.
Each program carries funding configuration: the bank account that funds the cards and the GL account where charges appear. This ensures every card transaction is properly recorded in your accounting system from the moment it occurs.
Card Issuance and Control
You can issue cards to individual employees with customized spending limits that override program defaults. Cards move through a lifecycle of issued, activated, suspended, and cancelled states. If an employee loses a card or leaves the company, you can suspend or cancel it immediately through a simple command.
Virtual cards are particularly useful for online subscriptions and vendor payments. You can issue a virtual card for a specific vendor or purpose, set a spending limit, and monitor usage -- all without physical card logistics.
Transaction Processing
When card transactions come in (either through automatic sync or CSV import), the system categorizes each transaction and posts it to the correct GL accounts. The card transaction processor agent handles this automatically, using merchant information and transaction patterns to determine the right expense category and GL account.
Each transaction is tracked with merchant name, amount, date, and category. You can aggregate spending by employee, merchant, department, or any dimension to see where your money is going. Transactions that exceed approval thresholds are flagged for manager review before GL posting.
Receipt Collection
After transactions are imported, the system automatically requests receipts from cardholders. Employees can submit receipts by email reply, through the admin dashboard, or via chat. Receipt data (merchant, date, amount) is validated against the transaction to catch discrepancies. You can track which transactions have receipts and which are still pending, and send reminders for missing documentation.
